Position: Loan Officer Assistant
Location: U.S. Remote- Must be able to work MST hours.
Pay - up to $20.19/hr + Bonus Per File + full time benefits including 401k, paid holidays, and paid vacation.
Position Summary:
The LOA will directly communicate with new leads, active prospects, customers, clients, and business partners daily, ensuring a smooth workflow and strong team chemistry. This role requires strong communication, time management, priority management, and data entry skills. The LOA will work cohesively with the BM, borrowers, loan processors, underwriters, and third parties to close 95%+ of all loans on time while providing an outstanding experience from application to close. This position requires substantial cash, credit, capacity (income), collateral, communication skills, and the ability to be resourceful.
1. Lead/Database/Scheduling Management:
a. Contact all new leads within 4 hours as directed by BM
b. Track all new leads using the lead tracker
c. Onboard new leads into the CRM
d. Assist BM with scheduling borrower, realtor appointments (phone, video or face-to-face)
e. Confirm all appointments via email, text & phone 24 hours in advance
f. Maintain BM’s weekly calendar and sales tracker
g. Maintain database organization for LO, NAF connect, BV, realtor profile data accuracy for co-branding and post-close campaigns
h. Maintain own calendar, to include follow up reminders for lead outreach and touches
2. Prequalify/Pre-approval:
a. Request and review cash, credit and capacity (income) qualifications for all borrowers
b. Proactively contact pre-approved borrowers when needed (i.e. absence of BM, when requested)
c. Communicate effectively with Realtor partners when needed (i.e. absence of BM, when requested)
d. Order any verifications needed for BM in order to facilitate effectively prequalifying/preapproving borrowers when needed (or direct LPA to do so, if applicable)
e. Expedite rush prequal/preapproval requests needs as communicated from BM
f. Flag any red flags or potential issues to the BM or Team Captain (if applicable)
3. Pipeline:
a. Update LOS w/all newly received contracts, to include file contacts when needed (i.e. absence of BM, when requested)
b. Send out all initial loan documents on loan files no later than lunch hour
c. Ensure 95%+ loans close on time with daily check-ins w/processor to address choke points d. Resolve 95%+ of loan issues w/processor before escalating to BM
e. Perform a daily “gauge check” to identify “hot loans” f. Attend weekly branch pipeline meetings to track loan milestones
g. Maintain pipeline/team excel spreadsheet, ensure data is up-to-date
h. Contract contingencies/loan terms deadlines required to be added to LOA outlook calendar 24 hours before expiration for tracking/reminders
i. Be available after hours for urgent questions (via mobile)
j. Consistently exceed borrow and referral partner expectations
k. Submit all loans with signed loan docs within 1 business days of receipt (unless otherwise directed by BM) to LPA
l. Email reviewed appraisal to borrower within 24 hours of value acceptance from underwriter
4. Post-Underwrite:
a. Analyze the conditional loan approval (CLA) to ensure all conditions are clear, work directly with UW/processor to clear unnecessary conditions, work arounds
b. Daily communication w/processor to confirm outstanding CLA items have NOT already been received before reaching out to external/internal parties (avoid duplicate requests to borrowers, agents, BM)
c. If needed, request conditions in layman’s terms that are easy for borrowers to understand, do not copy and paste internal loan conditions
d. Utilize Maxwell, utilize task list functions to allow secure outlet for borrowers to provide outstanding loan conditions
e. Conduct pre-closing closer/agent/BM emails-ensure settlement statements are sent to agents on all purchase transactions
f. Support processor, BM, borrowers with any post-funding support (as needed), any issues must be answered/addressed same day
5. Additional Role Expectations:
a. Professionalism: Maintain high standards in speech and email
b. Client Experience: Act as a concierge between borrowers and business partners
c. Maintain Weekly timecard
d. Stay up to date on all investor guidelines & program changes, completion of any required training needed for LO/BM to originate special programs (i.e. dpa programs)
e. Required 15 minute time blocking before and after work day to review daily pipeline, needs.
